Privacy Notice
How REKODHA handles your information and how to contact us about it.
Effective 15 October 2026
Who operates REKODHA
REKODHA is developed and operated by BREAKSTORM INFORMATION TECHNOLOGY LIMITED, the controller responsible for the personal information described in this notice. Use Contact us and select Privacy & personal data to ask a question, make a rights request or raise a complaint.
Information we handle
We handle the account and contact details you provide; family profiles; immigration permission and passport details; travel, employment, study, sponsorship and financial records; documents you upload; your sharing choices; support correspondence; and service security and activity records. Family information is supplied by the account holder. Only add information about another person where you have authority to do so, and make this notice available to them. Adult account holders manage records for children in their care.
How we use information
We use account and record information to provide your workspace, connect documents to records, calculate supported counters and readiness information, prepare outputs you request, and manage your access. We use contact details and correspondence to answer enquiries and handle complaints. Security and operational records help us prevent misuse, investigate faults and administer the service. We do not sell your immigration records or use contact enquiries to enrol you in marketing.
Our lawful bases
We rely on performance of our agreement with you to provide requested account features and support. Our legitimate interests include operating and securing the platform, preventing abuse, improving reliability and answering business enquiries, balanced against your rights. We rely on legal obligations where we must retain or disclose information to comply with applicable law. Where we ask for consent for an optional use, you may withdraw it through Contact us without affecting earlier lawful processing. Providing account details is necessary to create and maintain your account; other records depend on the features you choose to use.
Sensitive information
Immigration evidence can reveal sensitive information about health, ethnicity, religion or other people. Do not upload unnecessary sensitive details or criminal offence information. The contact form is for enquiries, not for submitting immigration evidence. If you have already supplied sensitive information you want removed or need clarification about its handling, contact us using Privacy & personal data.
Who receives information
The platform uses Cloudflare for hosting, database and file storage, and Resend for service emails. Authentication may use REKODHA email sign-in or the hosted identity service you choose. Authorised staff access is controlled by role; additional record access is subject to the platform’s access controls. If you choose to share a pack or send an enquiry to a professional, the selected recipient receives the information needed for that request. A professional handles information they receive under their own privacy arrangements. Information may also be disclosed where legally required.
Storage and international processing
Our hosting, authentication and email providers may process information in more than one country. Do not assume all information remains in the UK. Contact us for current provider locations and applicable transfer arrangements before uploading information subject to location restrictions.
How long we keep information
Records are held to provide your ongoing immigration life file while your account remains active. Retention also depends on outstanding support matters, security investigations, legal obligations and the need to establish or defend legal claims. Account deletion is a managed process and is not an instant guarantee that every copy, audit record or backup has been erased. Contact us for the status of a deletion request and the applicable retention arrangements. We do not promise a fixed deletion or backup-expiry period in this notice.
Cookies and website statistics
Sign-in uses session information and cookies needed to keep your account working. The built-in traffic counter records aggregate page and referral categories, with short-lived random delivery receipts to avoid duplicate counts; it does not store your IP address, account ID or document URL in traffic statistics. Hosting providers may maintain separate security logs. The contact form uses a daily network-address hash and email address to limit repeated submissions.
Your choices and rights
Depending on the circumstances, you can request access, correction, deletion, restriction or portability of your personal information and object to processing based on legitimate interests. You can withdraw consent where it is the basis for processing. Use Contact us and select Privacy & personal data; we may need to verify your identity. If Download my data is unavailable, you can still request a copy through Contact us. You can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or call 0303 123 1113.
Automated indicators and security
Travel counters, readiness indicators and rule assessments support your planning; they do not decide immigration status, make Home Office decisions or determine your legal eligibility. Check the underlying records and seek professional advice when needed. Access controls and operational safeguards help protect information, but no online service can promise absolute security. Keep your sign-in details private and report suspected unauthorised access promptly.
Changes to this notice
We will update this page when our practices change and communicate material changes through the service where appropriate. Last updated: 15 October 2026.
