One family, separate passports and visa dates

Family members can have different documents and deadlines. Keep a clear record for each person, even when you share a home.

What this means for you

Check each person’s passport and visa dates. Do not assume that one person’s dates apply to the whole family.

Start with each person’s name

Make a record for each family member. Put their current passport and permission details with their name. Check them against the originals.

Similar names make mistakes easy. Before attaching a file, check the person named on it. Make sure an old passport is not marked as the current one.

If something is missing, note the gap. Do not fill it using another family member’s details just because they arrived or applied together.

Label shared documents clearly

A passport belongs to one person. A tenancy agreement may involve several people. Note who each document actually names and what period it covers.

A council-tax letter addressed to one adult does not, on its own, explain every family member’s situation. Keep a note of what it shows without claiming more.

If you share a document with an adviser, explain why you included it. This helps them decide whether it is useful for the question you are asking.

Review one person at a time

Made-up example: a parent’s permission ends in October, while a child’s ends the following spring. The family checks both dates rather than using one deadline for everyone.

When a passport is renewed or a decision arrives, update the right person’s record. Keep the old document in the history.

For official UKVI accounts managed for someone else, follow the GOV.UK guidance linked below. Changing a family record in REKODHA does not change that official account.

Check the family pack before sending

Read each person’s summary and open their attachments. Check names, dates, page quality and any missing documents.

Label shared files consistently. Tell the reviewer about any dates you could not confirm. A clear question is better than making the pack look complete when it is not.
