Keep records of your employer, school or family support

Keep the details that explain your permission to stay: this may involve an employer, a school, a family member or another route.

What this means for you

Keep the people, organisations and documents that matter to your own visa route. Update the history when something changes.

Start with your own situation

Some people have permission linked to a sponsored job. Others study, join family or use a different route. Your record should reflect the permission you actually have.

For work, keep the employer’s name and relevant job and sponsorship details. For study, keep the school or university and course details. For family, keep the relevant person and relationship records.

These are ways to organise information. They are not a list of documents everyone must submit. Check the instructions for your own application.

Explain unfamiliar references

CoS means certificate of sponsorship. It is a sponsorship record used for a sponsored work visa. CAS means confirmation of acceptance for studies, used for a Student visa.

If you have one of these records, keep its reference with the organisation that supplied it. Check the number against the original before using it.

Made-up example: Tawanda has letters from an old employer and a new one. He keeps both, with each employer’s name and the period the letter describes.

Keep a history of changes

When your job, school or support changes, write down what changed and when. Save the email or letter that confirms it.

Keep earlier records in the history. Do not replace an old employer’s letter with a new one and lose the earlier information.

Changing a record in REKODHA does not notify UKVI. Check separately whether the change requires an official update or application.

Check what is needed for the next step

Before applying, read the latest official guidance and the document requests in the application. A file you kept for one purpose may not be needed for another.

The GOV.UK settlement page below explains checks for sponsored workers, including confirmation from the sponsor that the worker is still needed. Settlement means permission to stay without a time limit.

Use Work, study & support to keep the connection clear. Use Evidence Library for the documents. Mark missing information so you know what to ask the employer, school or relevant person for.
